We collect only information that is reasonably necessary for a lawful purpose, subject to applicable legal requirements.
4. How do we collect personal information?
We may collect information:
Directly from you through forms, email, telephone, messaging services or consultations.
When you use our website or interact with its features.
When you request, purchase or receive our services.
From service providers that support the delivery of our services, where lawful.

Where information is collected indirectly, we will handle it in accordance with applicable transparency and notification requirements.
5. Why do we process personal information?
We may process your information for the following purposes:
To respond to enquiries and contact you about your request.
To provide AI-powered business recommendations and consultation summaries.
To understand your stated business needs and suggest relevant technology services.
To prepare quotations, proposals and service agreements.
To design, develop, maintain and support websites or other agreed deliverables.
To administer payments, invoices and contractual obligations.
To maintain the security, reliability and performance of our website and services.

To improve our services where a lawful basis exists and appropriate safeguards are in place.
We will not use personal information for an unrelated purpose in a manner that is incompatible with the original purpose unless permitted by law.
6. AI consultation and automated processing
When you submit business information through our AI consultation service, we may process that information using artificial intelligence tools to generate recommendations, summaries, proposed workflows or suggested technology solutions.
This may involve sending relevant information to an external AI service provider acting as our service provider or operator, depending on the system used.
We aim to limit the information shared with AI providers to what is reasonably necessary for the requested consultation. Please avoid including passwords, identity numbers, sensitive personal information or confidential third-party information unless specifically necessary and appropriately authorised.
AI-generated recommendations may be inaccurate, incomplete or unsuitable for your particular business. They should be reviewed before being used to make important decisions.
AI training and reuse: We will not represent that consultation information is never used for AI training unless that has been verified against the actual provider settings and contractual terms. Our intended approach is to avoid using identifiable client consultation submissions to train our own general-purpose AI models unless we have a lawful basis and, where required, appropriate consent or authorisation.
The actual treatment of information by external AI providers depends on the services and configurations we use. We will update this statement if our material practices change.
Where applicable law requires meaningful information about solely automated decisions that have legal or similarly significant effects, we will provide the information and safeguards required by law. Our consultation service is intended to provide recommendations rather than make significant decisions about individuals.
7. Our lawful grounds for processing
We will process personal information only where an applicable lawful justification exists.
Depending on the purpose, this may include:
Your consent.
Taking steps at your request before entering into a contract.
Performing a contract with you.
Complying with a legal obligation.
Protecting a legitimate interest recognised by applicable law, where the relevant legal requirements are met.
Another lawful justification permitted under POPIA.
Where we rely on consent, you may withdraw it at any time, subject to legal or contractual limitations and the lawfulness of processing that took place before withdrawal.
Withdrawing consent may mean that we cannot provide a service that depends on the relevant information.
8. Promotional communications
We may send promotional emails, WhatsApp messages or other marketing communications where permitted by applicable law.
We will obtain consent or satisfy the applicable requirements for unsolicited electronic marketing, including relevant provisions of ECTA, as appropriate to the communication and recipient.
Where required, we will obtain permission before sending electronic direct marketing and will provide a reasonable way to stop receiving it.
You can opt out of promotional messages by using the unsubscribe option provided or contacting us at admin@engwenitech.live
Opting out of marketing will not prevent us from sending essential service communications, such as a response to your enquiry, a project update or an important account notice, where those communications are lawful.
9. Cookies and similar technologies
Our website may use essential technologies to provide its functionality, maintain security, remember preferences or support authentication.
Depending on our actual website configuration, we may also use analytics or other optional technologies to understand website usage and improve performance.
Where required, we will provide appropriate information and obtain consent before using non-essential cookies or similar technologies.
You may be able to control cookies through your browser settings. Disabling certain cookies may affect website functionality.
Website-specific details: ACTUAL COOKIE, ANALYTICS AND TRACKING TECHNOLOGIES USED, NONE ARE USED AFTER VERIFICATION.
10. Who may receive your information?
We may share personal information with appropriate recipients where necessary and lawful, including:
AI service providers used to generate consultation outputs.
Website hosting, cloud storage and database providers.
Email, messaging and customer communication providers.
Payment processors and accounting service providers.
Website development, maintenance and security providers.
Professional advisers, auditors and insurers where necessary.
Regulators, courts, law enforcement agencies or public authorities where legally required or authorised.
A successor or purchaser involved in a lawful business restructuring, subject to applicable privacy protections.
We do not intend to sell personal information as a commercial data product.
We will seek to limit information shared with service providers to what is reasonably necessary and implement appropriate contractual, security and privacy safeguards.
11. International transfers
Some service providers may store or process information outside South Africa.
Where personal information is transferred to another country, we will take the steps required by POPIA, including ensuring that the applicable conditions for international transfers are satisfied.
Depending on the circumstances, these steps may involve assessing the recipient country’s protections, contractual safeguards, consent where legally appropriate, or another permitted basis.
12. How long do we retain personal information?
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, unless a longer period is required or permitted by law.
Retention periods depend on the type of information and the reason for processing.
Our intended retention schedule is:
Unsuccessful or general enquiries: 12 Months
AI consultation submissions and summaries: 3 years
Client project and contractual records: Lifetime
Invoices and financial records: For the applicable statutory period.
Security and technical logs: Lifetime
Marketing contact records: Until withdrawal of consent or objection, subject to limited records retained to honour opt-outs and meet legal obligations.
Backups: 12 Months
When information is no longer required, we will securely delete it, destroy it or de-identify it, subject to applicable legal obligations and legitimate recordkeeping requirements.
We will not claim that information is deleted immediately from every backup or third-party system unless our actual arrangements support that claim.
13. How do we protect personal information?
We take reasonable technical and organisational measures designed to protect personal information against loss, unauthorised access, misuse, disclosure, alteration or destruction.
Depending on the services involved, these measures may include access controls, authentication, permissions, secure transmission, appropriate storage protections, backups and monitoring.
No internet-based system can be guaranteed completely secure. We therefore cannot promise that unauthorised access or security incidents will never occur.
Where a security compromise triggers legal notification duties, we will take the steps required by applicable law, including notifying the Information Regulator and affected individuals where required.
14. Your privacy rights
Subject to applicable law, you may have the right to:
Ask whether we hold personal information about you.
Request access to your personal information.
Request correction or deletion of inaccurate, excessive, outdated or unlawfully obtained information, where the law permits.
Object to certain forms of processing on legally recognised grounds.
Withdraw consent where processing relies on consent.
Object to direct marketing where applicable.
Lodge a complaint with the Information Regulator.
Exercise any other rights available to you under POPIA or other applicable legislation.
To exercise a right, contact us at admin@engwenitech.live
We may request reasonable information to verify your identity before responding. We will handle requests within the periods and procedures required by applicable law. Certain requests may be refused or limited where a lawful exception applies.
15. Complaints and the Information Regulator
If you believe we have processed your personal information unlawfully, please contact our privacy contact first so that we have an opportunity to investigate.
You also have the right to approach the Information Regulator of South Africa.
Information Regulator (South Africa)
Website: https://inforegulator.org.za/
The Regulator’s contact information and complaint procedures are available on its official website.
Nothing in this statement limits your statutory right to lodge a complaint with the Regulator.
16. Children’s information
Our website and business consultation services are intended primarily for businesses and adult users.
We do not knowingly seek to collect children’s personal information unless there is a lawful and necessary reason to do so and the applicable legal requirements have been met.
If you believe a child has provided personal information to us unlawfully, please contact admin@engwenitech.live so that we can assess the matter and take appropriate action.
17. Links to other websites
Our website may contain links to third-party websites or services.
Those websites operate under their own terms and privacy practices. We are not responsible for the privacy practices of independent third parties, although we will take reasonable care when selecting providers we use directly.
Please review the relevant third party’s privacy statement before submitting information to it.
18. Changes to this Privacy Statement
We may update this statement when our services, technology providers, information-processing practices or legal obligations change.
The latest version will be published on our website with the applicable effective date.
Where required by law, we will provide additional notice or obtain consent before introducing a materially different use of personal information.
